The Social Worker Log plugin contains a number of reports that assist users in determining how services are being provided to students, making sure that issues are followed up on, and identifying frequently used organizations that students are being referred to.
The location of these reports will differ based on how your district requested the plugin be configured. They are likely to be in one of three places though:
- Data and Reporting -> GSD Reports
- Data and Reporting -> DISTRICT NAME Reports
- Data and Reporting -> Social Worker Reports
If you are unsure where to find your reports, contact your district's PowerSchool administrator.
When working with students, users will often be in contact with other adults in that student's life. The Social Worker Log has a section that is used to record those contacts, and this report analyses the data to determine how frequently different types of contact are being used.
The report defaults to running for the current school, and for the entire school year, however, it is possible to set new date/school values on the report. To do so,
- Adjust the date values
- Change the school if necessary.
- Click the "Get Data" button.
If the report finds that a Contact type has been attached to logs, a button will appear at the end of the row labeled, "Show Logs". This button will trigger a table to be displayed showing all the Social Worker Logs from the selected date period/school that have had that Contact Type marked.
Dashboard/Social Work Log by Topic
When creating Social Worker Logs for students, the user is asked to select a primary topic for the meeting, and allowed to enter sub-topics as well. For example, a meeting that occurs to address attendance issues may uncover concerns about depression or anxiety. This report is designed to help users find trends in topics, which may be helpful when considering school-wide or group-based services.
It displays data in 3 different ways:
- Number of Logs by Topic: A count of all topics marked as the primary, or secondary topic.
- Frequency of Sub-Topics by Primary Reason: Lists every possible primary reason for the Social Worker Log and counts how many times each topic has been listed as a secondary topic.
- Number of Unique Students by Topic: Provides a count of how many students have had a topic marked as the primary or secondary reason for a log entry.
The report defaults to running for the current school, and for the entire school year, however, it is possible to set new date/school values on the report. To do so,
- Adjust the date values
- Change the school if necessary.
- Click the "Get Data" button.
Demographics
The Demographics report analyzes all the students who had a Social Work Log completed during the date range specified and aggregates their various demographic factors together, while also determining the percentage of students that fall within each group. The report analyzes the following demographic areas:
- Grade Level
- School
- Gender
- Ethnicity
- Special Education Status
- Economic Disadvantaged Status
- Foster Care Status
Follow-Up Due
Social Work Logs allow for a follow-up date to be set. This report is designed to help ensure that follow-up occurs.
If the user has completed the follow up, but it remains on the report, they have not marked it as complete in the Follow Up section of that student's particular log. Review the report to determine the relevant meeting date, then click the name of the student in the report will take the user to the Social Work Log page for the student. Click on the relevant meeting and scroll to the bottom to mark the follow up as having been completed.
Meeting Count
The Meeting Count Report will display all students who have a Social Worker Log entry between the given dates and provide a count of the number of Social Worker Log entries that have been made between those dates. This report will help identify "high fliers" who are in need of intensive support.
The report defaults to running for the current school, and for the entire school year, however, it is possible to set new date/school values on the report. To do so,
- Adjust the date values
- Change the school if necessary.
- Click the "Get Data" button.
Referrals
Social Workers do not work in isolation. Frequently they will have students referred to them by others, or will be involved in referring the student to other organizations/relevant adults for services. The Referrals report is designed to help the user determine the type of individuals/organizations who are most frequently referring students to the Social Worker, and the individuals/organizations that the social worker is referring students to for services.
The report defaults to running for the current school, and for the entire school year, however, it is possible to set new date/school values on the report. To do so,
- Adjust the date values
- Change the school if necessary.
- Click the "Get Data" button.
